The Faculty of Medicine, Dentistry & Health Sciences has an enviable research record and is the University of Melbourne’s largest faculty in terms of management of financial resources, employment of academic and professional staff, teaching of undergraduate and postgraduate (including research higher degree) students and the conduct of basic and applied research.
The School of Biomedical Sciences is the largest School out of the six Schools under the Faculty of Medicine, Dentistry and Health Sciences, established in 2015. It consists of three departments, Anatomy & Physiology, Biochemistry & Pharmacology and Microbiology and Immunology all located in one of the world’s leading biomedical precincts.
About the Role
As the Senior Administrative Officer in the School of Biomedical Sciences, you will be responsible for providing high-level operational support to the Head of Department, Department Executive and the Strategy and Operations Manager (SOM) in the Department of Biochemistry and Pharmacology. This position will be an active member of the Senior Executive Administrative Team within the School of Biomedical Sciences, and will collaborate with peers in the development and streamlining of processes between Department and School level. The position will primarily support the implementation of strategic and business plans across the Executive portfolios i.e., undergraduate and graduate teaching, research and industry and operations. It will also support the development of policies, processes and systems that supports the governance framework and initiate, implement, and monitor a range of short-term Department specific continuous improvement projects.
In a typical week at work, you may:
- Coordinate and/or provide administrative support to the leadership team and key operational activities at the Department level
- Coordinate Department administrative operations, including the development, implementation and monitoring of local standard operating procedures in accordance with University policy e.g., document control and management
- Provide high level secretariat support to the Department Executive Committee and others as specified ensuring records require minimal revision and are appropriately stored
- Coordinate the flow of documents between the Department, School, Faculty and University Services as required, including but not limited to grants and contracts, human resources, and student matters
About You
You will have high level communication skills and demonstrated sound judgment and problem-solving capabilities in a complex and varied environment. You will also have excellent planning and priority management skills with the ability to manage time effectively and work to fixed deadlines in a changing environment.
Ideally, you will further have:
- Completion of an undergraduate tertiary qualification or an equivalent combination of relevant experience and/or education/training
- At least 5 years of experience working in a high-level administrative role
- Highly developed administrative and organisational skills with the capacity to work both independently and as part of a team in a service-oriented environment, including possessing a high level of initiative
- Advanced level of computer skills including a good knowledge of the Microsoft Office suite as well as the capacity to learn and use in-house administrative database systems
